Health and Safety policy

Man and Van Soho Health and Safety Policy

Man and Van Soho is committed to providing a safe and healthy working environment for our employees, contractors, customers, and members of the public affected by our removal and delivery operations. This policy sets out our approach to managing health and safety risks associated with house moves, office relocations, collection and delivery, and related transport services.

Our aim is to prevent injury, ill health, and damage to property by identifying hazards in our removal activities and implementing effective controls. Health and safety is an integral part of how we plan and deliver every move, from initial booking through to completion of the job.

Management Commitment and Responsibilities

Senior management has overall responsibility for ensuring that suitable health and safety arrangements are in place and that sufficient resources are provided to maintain and improve safety performance. Managers and supervisors are responsible for implementing this policy on a day-to-day basis and for monitoring compliance during removal and delivery work.

All workers, including drivers, porters, and support staff, have a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions. They must follow all safety procedures, use equipment correctly, report hazards, and cooperate with any measures designed to protect people and property.

Risk Assessment and Safe Systems of Work

Before undertaking any removal or transport task, Man and Van Soho assesses the risks associated with the job. This includes considering access to properties, parking and loading areas, stairways and lifts, heavy or awkward items, fragile goods, and any special client requirements.

Where significant risks are identified, we put in place safe systems of work. These may include using additional staff, mechanical aids such as trolleys, alternative loading points, or adjusted routes through a building. We review risk assessments regularly and revise them when conditions, equipment, or working methods change.

Manual Handling and Safe Lifting

Manual handling is a core part of removal work, and poor technique can lead to serious injury. All staff involved in lifting, carrying, loading, and unloading receive guidance on safe manual handling, including keeping loads close to the body, bending the knees rather than the back, and avoiding twisting while carrying.

We plan lifting tasks to avoid unnecessary manual handling wherever possible. For heavier or bulky items such as furniture, appliances, or office equipment, we use team lifting, moving equipment such as dollies, skates or sack trucks, and where required, specialist solutions. Staff are instructed not to exceed safe lifting limits and to speak up if an item cannot be moved safely.

Vehicle Safety and Loading

Our vehicles are maintained in a roadworthy condition and inspected regularly in line with legal and manufacturer requirements. Drivers are responsible for carrying out pre-use checks, reporting defects, and operating vehicles in a safe and considerate manner at all times.

Safe loading is essential to protect staff, customers, and the public. We secure loads to prevent movement during transit, distribute weight evenly, and ensure that doors and ramps are properly closed and locked before moving off. Staff are trained to use loading equipment safely and to be aware of hazards around vehicles, such as moving traffic, pedestrians, and uneven ground.

Working at Height and Use of Equipment

Where work at height is unavoidable, such as accessing high storage areas or upper floors via external routes, we plan the task to minimise risk. Staff are instructed not to climb on unstable objects and to use appropriate access equipment where provided. Any equipment used must be inspected before use and operated in accordance with instructions and training.

All tools and equipment used during removals, including straps, blankets, trolleys, ramps, and protective materials, are selected and maintained to meet safety requirements. Defective equipment is taken out of service immediately and reported to management.

Customer Premises and Public Safety

We recognise our responsibility to protect customers, their property, and members of the public while work is being carried out. Our teams take care when moving items through homes, offices, communal areas, and shared access routes to avoid trips, slips, and collision hazards.

Walkways are kept as clear as reasonably practicable, doors are propped or controlled where necessary, and particular attention is paid to stairs, narrow corridors, and door thresholds. We take care to protect floors, walls, and fixtures where appropriate and to avoid blocking emergency exits or access routes needed by others in the building.

Training, Information, and Supervision

Man and Van Soho provides appropriate information and instruction to all staff involved in removal and delivery activities. Training covers safe lifting techniques, use of equipment, vehicle safety, accident reporting, and our company procedures for working safely at customer locations.

New staff are supervised until they demonstrate that they can work safely and in accordance with our standards. Refresher training and toolbox talks are provided when necessary, including after incidents, changes in working practices, or the introduction of new equipment.

Accident, Incident, and Near Miss Reporting

All accidents, injuries, and near misses that occur during removal and transport work must be reported promptly to management. We investigate these events to identify root causes and to implement corrective actions to prevent recurrence.

Information from incidents and customer feedback is used to improve our risk assessments, training, and working methods. Where required, events are recorded and reported in line with applicable legal obligations.

Health, Welfare, and Fitness for Work

We recognise the physical nature of removal work and the importance of staff fitness and wellbeing. Workers are expected to present themselves fit for duty, free from the influence of alcohol or drugs, and to inform management of any health conditions that could affect their ability to work safely.

Reasonable measures are taken to manage fatigue, including sensible scheduling of work and breaks. Drinking water and rest periods are encouraged, particularly during demanding jobs or in hot weather. We aim to support staff with any health issues that arise in connection with their work.

Review and Continuous Improvement

Man and Van Soho is committed to continuously improving its health and safety performance across all removal and delivery operations. This policy is reviewed regularly to ensure it remains suitable, sufficient, and aligned with current legal requirements and industry good practice.

We welcome feedback from staff and customers on health and safety matters and use this information to refine our procedures. Everyone involved in our services is encouraged to play an active role in maintaining a safe working environment and protecting people, property, and the reputation of our company.
